We are continuing to work intensively to eliminate the technical issues which unfortunately are affecting the new Walled Garden.

The major issue that we are facing is the speed of the new system, this is affecting customers and internal staff alike and is making it difficult to work efficiently.  This is our highest priority issue and we are working on both immediate and medium term improvements to resolve this.   Already we can see improvements in the last couple of days but there is much more to do.

These problems in conjunction with the general difficulties caused by such a big change have resulted in a huge volume of calls and emails to our customer support, operational, product and regional teams and they are working very hard to respond in as a quick a time as possible. We apologise for any inconvenience caused to our customers and thank you for your patience and understanding. 

We would also like to take this opportunity to update you about the following:

Certificate Invoices

Invoices relating to certificates now have the names of candidates who have been certificated and the charges relating to each individual.  We have also added your last order reference associated to each candidate; this should assist those customers that struggle to link certification charges with previous registrations and results.

New GOLA result order confirmation document available

For those centres using the on-line assessment system, a new printed document will now be provided to accompany invoices.  This GOLA order confirmation document lists all the candidates for whom charges apply and includes any references you may have provided when registering candidates.

Delay in the notification of results

There have been some delays in the printing and despatch of some candidate results stationery.  ‘Results Lists’ and ‘Notification of Candidate Result’ documents have now been despatched for the vast majority of candidates affected and a technical fix will soon be implemented to resolve this anomaly.

Changes to Results Lists

Following centre feedback, the format of the new style Results List document has recently been updated, to make it clearer and easier to report candidate results and certification status.

On Demand approved qualifications

Some centre staff have experienced difficulties selecting the correct qualification for On Demand orders through the new Walled Garden Shopping Basket.  This issue is currently being resolved; however, we recommend users key the 6 digit qualification number (eg 1234-56) directly into the ‘Order Code’ field and select search.  The qualification should then display and be available for selection.

Walled Garden account access to related centres

We have now launched new functionality which allows approved users to place orders and view online reports for a number of linked centres using a single Walled Garden account.  For more information about this new feature please contact your local City & Guilds' office.

System performance

Centres have fed-back that certain screens within the new Walled Garden take a long time to update.  We have investigated potential reasons for these delays and developments have been implemented to speed up processing time for those particular order screens; with further enhancements planned for implementation in the near future.

Valid candidate date of birth (DOB) only

Submission of candidate DOB data in an invalid format or left blank (eg 00/00/0000 or 01/01/1901) has caused delays to the processing of some orders.  Please note all candidate related orders must contain a candidate DOB in the appropriate format (eg 01/01/80).

Changes to Modern apprenticeships administration

The administration of all City & Guilds Modern Apprenticeship (MA) qualifications has now changed to the following: 
Registration orders
All candidate registration orders will continue to be submitted against the 'parent' MA qualification order code (eg 9406-01) to qualify for the consolidated registration fee.
Exam and result entry orders
Subsequent exam and result entry orders for MA registered candidates must be submitted using the constituent qualification and assessment order codes (eg NVQ 4010-02, Key Skills 3638-01).
Important note: Processing subsequent exam or result entry orders using the MA qualification order code will no longer be accepted by our systems.

Candidate Management facility – Coming soon

The new Walled Garden will soon provide a facility allowing users with an ‘Exams’ profile to display and print candidate details and submit amendment requests to City & Guilds electronically.
