Order confirmation reports
Order confirmation reports are sent to centres advising when an entry has been made into the City & Guilds system. Occasionally these reports may contain additional messages on the right hand side of the report. These messages are important as some of them may require further action. Below is a comprehensive list of the messages that appear on a Order confirmation Report, accompanied by a definition and action.
Messages Requiring Urgent Action:
Approval expired, contact local C&G office- Cand. REJECTED
All award approvals have a life span and could expire. If an entry has been rejected for this reason then please contact your Regional City & Guilds office.
Approval required, contact local C&G office-Cand. REJECTED
Please check that all relevant paperwork regarding approval for this award has been completed and submitted. Please allow 30 days for processing and that you have had a visit from an External Verifier. Please contact your Regional City & Guilds office where advice will be given.
Candidate does not have the required registration REJECTED
Entries have been attempted without the candidate having the appropriate registration. Please make sure that the award number is the same as the one the candidate was first registered for and then re-submit the entry.
Candidate name not supplied - Candidate REJECTED
A candidate name was not supplied, please check the details submitted and resubmit with either a valid enrolment number or candidate name.
Candidate was not registered for this Award - REJECTED
No prior registration has taken place for this candidate for the award. Please check award number in the directory and all previous submissions for this candidate.
Candidate was not registered for component *** - REJECTED
No prior registration has taken place for this candidate for the component. Please check component number in the directory and all previous submissions for this candidate.
Component does not belong to this Award - *** REJECTED
The wrong component number has been submitted. Check that the award number and component number are correct as per the Directory of Awards. Please re-submit the entry with the correct details.
Component *** is not assessed by an exam, entry ignored
The component has been entered as a Dated Entry when it is not assessed by a written examination. Please enter as a result entry to enter a result or a component registration in order to register for a GOLA exam.
Component grade missing - *** REJECTED
The grade has been missed off the entry. Please re-enter result(s) including grade.
Component grade invalid - *** REJECTED
The grade entered for the component is not a valid grade. Please check the Directory of Awards for valid entries and resubmit the results.
Component is not available - *** REJECTED
The component entered is not available in the complex. Please check the Directory of Awards and re-submit the a valid component number under the correct complex.
Component not available in month requested - *** REJECTED
An incorrect month has been entered for this component. Please check the Directory of Awards for timetabled exams and the correct month.
Component requires a date and time of exam - &&& REJECTED
A City & Guilds Single Subject entry has been attempted without the required date and time fields. Please re-submit with the correct information.
DOB/Sex not matching enrolment - Cand. REJECTED
An error has been made with entry of the candidate’s details. Compare this submission with original enrolment details. Re-submit the entry using the correct sex and/or date of birth.
ENR requested-Old No. found -Advise if incorrect
A request has been received to enrol a candidate. A possible match for this candidate has been found, please double check with the candidate to confirm that all the details are correct and advise Customer Relations if they are incorrect.
Enrolment No. invalid so changed; advise C&G if incorrect
A request has been received to enrol a candidate with a current Enrolment number. This number is invalid but a candidate with similar enrolment details has been found and this has been used. Please double check with the candidate to confirm that all the details are correct and advise Customer Relations if they are incorrect.
Invalid enrolment number - Candidate REJECTED
The enrolment number supplied does not match any in our system. Please make sure the enrolment number is in the alpha numeric format (e.g. ABC9876) and re-submit.
Invalid processing period - Candidate REJECTED
A request has been received to enter a candidate for a dated entry in a specified processing period (month). The processing period is not currently valid for this component. Please consult the Directory of Awards and re-submit under the correct processing period.
No block registrations left, new ones not allowed REJECTED
A request has been made to register a candidate for an award that requires block registration. A block registration has been attempted but the award is no longer accepting new registrations. Please contact Customer Relations.
Registration expired, now unavailable - Candidate REJECTED
Candidates' personal registrations all have a limited life span. When this time has expired re-registration must take place. Here the registration cannot be automatically made as the award has since closed for new registrations. Please contact the Customer Relations Team for guidance.
Registration must be via a form BR - Candidate REJECTED
Please check that the correct award number has been used. For centres wishing to block register candidates there will be a different complex number. Please see the Directory of Awards for information and re-submit the entry.
This Award is no longer available - Candidate REJECTED
All awards have expiry dates. If a registration or results entry has taken place after the award has expired this message will appear on your Order confirmation Report. Please check to see if there is a replacement award, if not please contact Customer Relations.
WARNING, No components entered
A Form S has been received without entering a component number for a dated entry or result. Please add the required information and resubmit the entry.
