Changes in Walled Garden

We’ve made changes to how you place orders in Walled Garden. These changes apply to registrations, bookings and results entry. You’ll now need to provide information on whether your students are funded or non-funded.

What’s changed?

All order types in Walled Garden have been updated. Orders include registration, exam and assessment bookings (or entries) and results entry. 

UK customers:

You now need to identify if the learners in the order are funded or non-funded. If you have a mix between funded and non-funded learners, then these transactions (orders) will need to be processed separately.

International customers:

Please select non-funded for all orders.

Registering learners

When you register a learner via Walled Garden Catalogue, you’ll now need to select the funded status of the learners you are registering.

Scheduling an e-volve exam

When you schedule an e-volve exam in Walled Garden e-volve scheduling, you’ll also need to select the funded status.

Results entry

You will now need to select the relevant funding status the results entry order type. The selection is after you have selected the candidate list, and before you select the units or assessments.

EDI File Upload

When you upload any Edi files for registrations, bookings and/or results, you’ll need to select whether the file should be processed as funded learners or non-funded learners.

Exception order processing

Centres who use the exception order process (those who not have Direct Claims Status (DCS) for a qualification) will also need to select the funded status when uploading the file:

Application of VAT

From 1 November 2025, invoices will come from City & Guilds Limited.

Depending on the funding status of your learners, VAT may now be chargeable for some products and services. Linked to the VAT questionnaire we shared on 29 September 2025, City & Guilds Limited have updated your customer records to reflect your VAT status. If you have yet to complete the questionnaire, please do so at your earliest convenience.

Customers who pay invoices via direct debit will shortly receive further information on an administrative change to your Direct Debit mandate effective 1 November 2025.

Learner funded status

All centres should know if their learners are funded or non-funded. In the UK, this is usually in the Individualised Learner Record (ILR) process, where a learner’s funding status is primarily recorded within the Learning Delivery Funding and Monitoring (FAM) fields of the ILR submission.

Funding For Training

Certificates

Digital certificates

Centres may experience short periods of time across w/c 03 November where access to digital certificates (using our MyCertis service) is unavailable. There will also be a short delay to some new certificates being accessible when using the search function. We expect to resume normal service no later than Friday 07 November.

Printed certificates

We are also pausing the despatch of paper certificates for approximately three weeks from Saturday 01 November.

We’re sorry for any delays in the dispatch of printed certificates. We are working hard with our suppliers to ensure the impact is minimal. During this time, we encourage centres to access digital certificates through the MyCertis platform. These can be downloaded and printed if required for employers, providers etc. They can also be validated securely using the QR code printed on the certificate or the verification code.

During this time, unfortunately we won’t be able to process any replacement certificate requests or archive services requests.
